CLIENT COORDINATOR
Position: Client Coordinator
Department: Operations / Client Services
Reports To: Operations Manager / Account Manager
JOB SUMMARY
The Client Coordinator is responsible for maintaining effective communication and coordination between the company, clients, and assigned employees. The position ensures that client requirements are properly addressed, workforce concerns are promptly handled, and daily operations run smoothly.
KEY RESPONSIBILITIES
1. Client Coordination
- Serve as the primary point of contact between the company and assigned clients.
- Maintain professional and positive relationships with clients.
- Communicate client requests, concerns, and operational requirements to the appropriate departments.
- Respond promptly to client inquiries and provide necessary updates.
- Conduct regular follow-ups to ensure client requirements are properly addressed.
2. Workforce Coordination
- Monitor the attendance, deployment, and daily work status of assigned employees.
- Coordinate employee schedules, assignments, and replacements as required by the client.
- Address employee concerns and coordinate appropriate resolutions.
- Monitor manpower requirements and immediately report staffing concerns to management.
- Assist in ensuring that deployed employees comply with company and client policies.
3. Administrative and Documentation Duties
- Prepare and maintain attendance reports, deployment records, incident reports, and other required documents.
- Assist in the preparation and submission of client reports and billing-related documents.
- Ensure that employee and client records are accurate and updated.
- Monitor submission of required documents and coordinate any deficiencies.
4. Operations Support
- Assist in resolving operational issues affecting the client and deployed workforce.
- Coordinate replacement or additional manpower when necessary.
- Conduct site visits or on-site coordination when required.
- Monitor compliance with company policies, client procedures, and workplace requirements.
- Escalate urgent or unresolved concerns to the Operations Manager or appropriate management personnel.
5. Employee and Client Relationship Management
- Promote good working relationships among clients, employees, and company representatives.
- Handle concerns professionally, fairly, and confidentially.
- Assist in maintaining employee discipline and workplace compliance in coordination with HR and management.
- Help ensure client satisfaction through timely and effective service.
QUALIFICATIONS
- Bachelor’s degree in Business Administration, Human Resources, Management, or a related field is preferred or Some College Education is also accepted.
- Previous experience in client coordination, account management, HR, manpower services, or operations is an advantage.
- Good communication and interpersonal skills.
- Strong organizational and time-management skills.
- Proficient in Microsoft Office, Google Workspace, or similar office applications.
- Able to handle multiple tasks and work under pressure.
- Willing to conduct field or site visits when required.
- Professional, responsible, and customer-service oriented.
- Preferably male, with a motorcycle for work-related travel.
