Operations Supervisor The Operations Supervisor is responsible for ensuring the efficient, accurate, and cost-effective operation of the Company’s retail kiosk network. The role oversees inventory management, stock distribution, kiosk operations, operational compliance, staff training, and audit functions to ensure that every outlet consistently delivers high-quality products and exceptional customer service. The incumbent is expected to progressively assume broader leadership responsibilities by driving operational excellence, strengthening internal controls, improving productivity, and developing people across the organization. Key Duties & Responsibilities: 1. Retail Kiosk Operations Drive operational consistency and excellence across all retail kiosks. - Conduct regular operational visits and performance reviews of all outlets. - Ensure compliance with Company SOPs on food safety, hygiene, merchandising, and customer service standards. - Monitor outlet productivity, cleanliness, equipment condition, and product presentation. - Identify operational issues and implement corrective actions promptly. - Support new kiosk openings, product launches, and promotional activities. - Work closely with outlet staff to improve operational efficiency and customer experience. 2. Inventory Control and Audit Protect Company assets by maintaining accurate inventory records and enforcing robust inventory control systems. - Supervise inventory movements between suppliers, commissary, warehouse, Head Office and retail outlets. - Conduct scheduled and surprise inventory audits across all kiosks and commissary operations. - Verify physical stock against inventory records and investigate all discrepancies. - Reconcile stock transfers, returns, wastage, spoilage, and variances between outlets and Head Office. - Ensure timely submission of inventory reports and recommend corrective actions for recurring issues. - Develop and strengthen inventory control procedures to minimize shrinkage and improve accountability. 3. Logistics & Distribution Coordination Ensure timely, complete, and accurate product deliveries to all retail outlets. - Coordinate designated dispatch schedules and delivery priorities. - Monitor delivery accuracy and timeliness. - Ensure complete documentation for stock transfers and deliveries. - Resolve delivery discrepancies promptly. - Coordinate with Purchasing & Warehouse to maintain optimal stock levels through the distribution chain. 4. Training & Operational Development Develop highly competent kiosk personnel capable of consistently executing Company standards. - Conduct orientation and operational training for newly hired kiosk personnel. - Organize refresher training and coaching sessions for existing employees. - Evaluate staff competency and recommend additional development where needed. - Update training materials and Standard Operating Procedures (SOPs). - Promote a culture of accountability, discipline, continuous learning, and operational excellence. 5. Quality Assurance & Food Safety Maintain the highest standards of food quality and operational hygiene. - Enforce sanitation, hygiene, and food safety procedures at all retail kiosks. - Conduct regular operational and food safety inspections. - Investigate customer complaints related to product quality or service. - Implement corrective and preventive actions. - Support internal audits and regulatory inspections. 6. Cost Control & Operational Efficiency Drive continuous improvement while maintaining operational costs within approved budgets. - Monitor labor productivity and scheduling efficiency. - Minimize wastage, spoilage, and unnecessary operating costs. - Recommend process improvements and operational innovations. - Lead continuous improvement initiatives across commissary and retail operations. 7. Reporting & Documentation Provide Management with timely and accurate operational information. - Daily Commissary Production Report - Outlet Operations Report - Inventory Variance Report - Stock Movement Report - Product Waste Report - Delivery Performance Report - Outlet Audit Report - Weekly Operations Summary - Monthly KPI Dashboard 8. Leadership & People Management Build a high-performing operations team capable of supporting the Company’s growth. - Supervise commissary personnel and field operations staff. - Conduct coaching, mentoring, and performance evaluations. Determine weekly Work Schedule of staff and monitor actual attendance at the outlets. - Recommend promotions, training and disciplinary actions when appropriate. - Foster teamwork, accountability, and continuous improvement. - Develop future supervisors and operational leaders. 9. Operations Management Development Prepare to assume full responsibility for the Company’s Operations function. - Lead cross-functional operational meetings. - Develop operational budgets and improvement plans. - Analyze operational trends and identify opportunities for increased efficiency and profitability. - Standardize operational procedures across commissary and retail outlets. - Lead special operational projects assigned by Senior Management. - Assume Operations Manager responsibilities during periods of absence or transition
