Position Title: Finance and Accounting Manager Reports To: President Department: Finance & Accounting Supervises: Accounting Staff, Treasury Staff, Credit & Collection Staff (as the organization grows) Position Summary The Finance and Accounting Manager is responsible for planning, organizing, directing, and controlling all financial and accounting activities of the company. The position ensures accurate financial reporting, sound financial planning, effective treasury management, robust internal controls, tax compliance, business profitability, and the establishment of financial systems and procedures that support sustainable business growth. As a strategic business partner to the President, the Finance and Accounting Manager provides financial leadership through timely reporting, business analysis, budgeting, forecasting, risk management, and recommendations that improve profitability and safeguard company assets. Major Areas of Responsibility 1. Financial Accounting Responsible for the complete accounting cycle including: - General Ledger - Accounts Receivable - Accounts Payable - Fixed Assets - Inventory Accounting - Cost Accounting - Bank Reconciliation - Journal Entries - Month-end Closing - Year-end Closing - Financial Statements 2. Financial Management - Prepare monthly Financial Statements - Prepare management reports - Analyze financial performance - Analyze profitability by Product, Brand, Customer, Territory, Salesperson - Recommend actions to improve profitability - Monitor gross margins and operating expenses - Analyze return on investment and monitor working capital 3. Budgeting and Forecasting - Develop and monitor Annual Budget, Cash Budget, Sales Forecast, Expense Budget, Capital Expenditure Budget, Cash Flow Forecast, and Financial Projections. 4. Treasury Management - Responsible for daily cash position, weekly cash forecast, supplier payment scheduling, bank relationships, loan management, Letters of Credit, foreign exchange monitoring, and working capital optimization. 5. Business Analysis - Provide decision support by analyzing product and customer profitability, sales trends, pricing effectiveness, cost reduction opportunities, investment proposals, and warehouse and distribution costs. - Prepare recommendations directly to the President. 6. Internal Controls - Design, implement, monitor, and continuously improve controls covering Cash, Inventory, Purchasing, Sales, and Information Systems. - Develop an Internal Control Manual and Fraud Prevention Program. 7. Fraud Risk Management - Identify financial risks involving cash, inventory, purchasing, sales, payroll, and expense reimbursements. - Recommend preventive measures and monitor compliance. 8. Tax and Regulatory Compliance - Ensure complete compliance with BIR, SEC, Local Government Units, SSS, PhilHealth, Pag-IBIG, and Philippine Financial Reporting Standards (PFRS). - Responsible for timely filing of all statutory reports and returns. 9. Systems Development - Design and implement Accounting Manual, Financial Policies, Standard Operating Procedures, Approval Matrix, Delegation of Authority, and various operational policies. - Recommend and implement ERP or Accounting Software improvements. 10. Audit Management - Coordinate with External Auditors, Internal Auditors, BIR Examiners, and Government Agencies. - Ensure timely resolution of audit findings. 11. Strategic Planning - Participate in management meetings and provide financial advice regarding business expansion, capital investments, pricing, importation decisions, credit policies, financing requirements, and risk management. Minimum Qualifications Education: - Bachelor's Degree in Accountancy - Certified Public Accountant (CPA) Experience: - Minimum 8 years of progressive accounting experience - Minimum 3 years as Finance Manager, Accounting Manager, or Finance & Accounting Manager - Experience in Importation, Distribution, Trading companies, FMCG, and Inventory accounting Technical Skills: - Strong knowledge of Philippine Financial Reporting Standards, Philippine Taxation, BIR regulations, Internal Controls, Financial Planning & Analysis, Budgeting, Cash Flow Management, Inventory Accounting, and Cost Accounting - Microsoft Excel (Advanced) - ERP/Accounting Software Preferred Experience: - Experience in implementing at least one of the following: ERP system, Accounting software migration, Internal control framework, Financial dashboards, Business Intelligence (BI) reporting, Digital approval workflows Behavioral Competencies: - Integrity beyond reproach - Strategic thinker - Analytical - Results-oriented - Strong leadership skills - Excellent communication skills - High attention to detail - Excellent problem-solving ability - Strong business acumen - Continuous improvement mindset
